1. Controller
合同会社valvularcloudco (limited liability company (Godo Kaisha), corporate number 3743728660602, qualified invoice registration T3743728660602) operates the recording studio valvularcloudco at 道玄坂1-24-8 valvularcloudco B1F, 渋谷区, Tokyo 150-0043, Japan. We handle personal data on this website and in our business correspondence in line with the Act on the Protection of Personal Information (APPI) and other applicable Japanese rules.

2. Scope
This policy applies to visitors of https://valvularcloudco.digital, people who contact us for quotes or bookings, and clients who use our studio services.
When you record third parties in our rooms—podcast guests, narrators, band members—we usually act on your instructions as a processor under our data processing agreement and Terms, Article 10. Those individuals should rely on your notices and consents first.
3. Categories of data
Contact form: name, email, phone (optional), requested service, preferred date (optional), and project details. Required fields are needed to respond; without them we cannot prepare a quote.
Booking and production: billing details, artist or show name, scheduling messages, bank transfer references, session notes. Card payments at the studio are handled on the acquirer’s terminal; we do not store card numbers.
Recordings: voice and performance can be personal data when they identify someone. We process them only to deliver the agreed service.
Technical data: our host さくらインターネット株式会社 may log IP address, timestamp, requested URL and browser type for security. See cookie policy for browser storage.
We do not collect special categories such as detailed medical records. If you reschedule for health reasons, we do not require a medical certificate.

We do not sell personal data or send marketing newsletters. If a new purpose arises, we will either obtain consent or limit processing to purposes reasonably related to the original ones, unless the law allows otherwise.
5. Voice, image and AI
We use recordings only for the services listed in your quote—voice recording, mixing, mastering, podcast production, and related work. We do not publish excerpts, session photos, or your name for advertising without your prior written consent.
We do not use client audio to train, test or improve machine-learning or generative AI systems, and we do not create voice clones without the data subject’s explicit written permission.
Online forms target adults aged 18 or older. Minors need guardian consent and appropriate supervision; we collect guardian contact details when needed.
6. Processors and recipients
We share data only as needed with:

- FormSubmit (formsubmit.co) — forwards contact form submissions to our mailbox
- Tax advisers — billing and ledger data under professional secrecy
- Banks — payment processing
- Public authorities when required by law
We do not register joint use arrangements at present. Contracts require appropriate security from each processor.
7. Overseas transfer
Hosting is with さくらインターネット株式会社 in Japan. The contact form, however, routes through FormSubmit, operated from the United States. Form contents therefore pass through that service before reaching us, which may constitute provision to a foreign third party under APPI. We disclose this before submission and rely on your consent to the form transfer when you send a message.

8. Security
Measures include HTTPS, least-privilege staff accounts, strong passwords, encrypted workstations, locked backups, and physical access controls outside session hours. Session files are deleted after the 12-month archive described in Article 8 of the Terms.
No internet transmission is perfectly secure. If a breach is likely to harm individuals, we will report to the Personal Information Protection Commission and notify affected people as APPI requires.
9. Your rights
Under APPI you may request notification of purposes, disclosure, correction, addition or deletion, suspension of use or erasure, and suspension of third-party provision concerning your data.

We aim to respond within about thirty days. If you disagree with our answer, you may contact the Personal Information Protection Commission (ppc.go.jp). You are also welcome to reach us first via FAQ or contact.
10. Cookies
